Job Description

Broad knowledge of financial transactions and systems, as well as related policy, accounting, and regulatory compliance requirements.
Thorough interpersonal skills and ability to work effectively with various internal staff members, student organizations, and campus stakeholders.
Strong skills using Microsoft Excel and Google Spreadsheets.
Broad service orientation skills; proven ability to multi-task effectively in a varied, high volume environment; sound judgment and decision-making skills; and reasoning ability to develop original ideas to solve problems.
Strong verbal and written communication skills.

Required to attend all SUA and SOFA Meetings.

Skills Preferred: Previous experience with student governments and/or student organizations.
Previous experience serving in a student leadership position a plus.

100% Job Function Summary
Involves accounting functions such as analyzing, monitoring, preparing and reconciling financial information to reflect the condition of the Student Union Assembly (SUA) and provide financial and other statistical data to the SUA. Also may involve preparation of financial reports to meet internal and external reporting requirements.

Generic Scope
Establishes departmental goals, objectives, functions around budget and finance management with collaboration from the Student Development & Engagement Manager (SDEM) and Executive Officers. Manages the accountability and stewardship of financial resources in compliance with departmental and organizational goals and objectives. Ensures the Officers, Interns, and Assembly Members adhere to the SUA Constitution and Bylaws and UC Policy as it relates to budget and funding matters. Manages systems and procedures to protect departmental assets.

Custom Scope
Receives assignments from the SDEM and President and determines how to use resources to meet scheduled deadlines and goals. Recommends changes to policies around budget and funding and establishes procedures that affect student organizations and/or units and departments. Works on issues of diverse scope where analysis of information requires evaluation of multiple factors, including an understanding of current business trends. Follows processes and operational policies in selecting methods and techniques for obtaining solutions. Provides financial guidance to Officers, Interns, Assembly Members, and student organizations to achieve goals in accordance with established policies.

Department Overview
The Student Union Assembly (SUA) is the official undergraduate student government at UC Santa Cruz. Our organization represents over 14,000 undergraduate students on the administrative, local, state, and federal level. Founded in 1985 to establish the Banana Slug as our official mascot, the SUA has been dedicated to three decades of public service to the UCSC student body.

Job responsibilities include the following:

50% - Fiscal Management
In collaboration with the Student Development and Engagement Manager, the SUA Treasurer will provide support with the daily management of fiscal operations for the SUA, including but not limited to the following: review all financial and funding requests for expenditure to ensure SUA compliance with travel, entertainment and purchasing policies, support the SDEM to process financial transactions such as purchase orders, travel requests, direct payment forms, travel advance request and post-travel forms, cash deposits, and entertainment request forms. Develop and monitor daily operations of the SUA budget to provide weekly updates that reflect projections and actuals. Provide guidance to the SUA around financial policy as stipulated in the SUA Constitution, Bylaws, and UC policy. Provide guidance to non-RSOs seeking funding options. Assist Executive Officers to develop and manage a budget spending tracker for their Office and meet with them at least twice a month to ensure accurate budget management efforts. Utilize Financial Information Systems (FIS) BANNER, CruzBuy, and any other software necessary to complete and manage financial projects.

25% - Student Organization Funding Advisory (SOFA)
Responsible for Chairing Student Organization Funding Advisory (SOFA), SUA’s largest funding body for undergraduate students which convenes at least once a Quarter. Charged with guaranteeing that all notifications regarding funding requests are made. Responsible for enforcing all stipulations made on funding allocations. Must prepare and provide evaluations made available for SOFA representatives to consider in future funding proposals from requesting parties. Provide consultation and answer any questions from student organizations who seek support for developing program budgets to be submitted for SOFA. Must have strong public speaking skills and execute with tact and diplomacy.

20% - Budget Development
Must be the expert on all budget inquiries as stakeholders will be referred to the Treasurer for guidance and counsel on budget and finance management. By the first week of Spring Quarter, work collaboratively with the SUA President to establish a Budget Committee consisting of at least 3 Assembly Representatives, one Executive Officer, and the Treasurer. Must certify that the draft budget follows all requirements established for the budget in the Constitution and Bylaws before the President can present the draft to the Assembly. Must develop 3 different budget scenarios to present to the SUA President who will present to the Assembly by the 5th week of the Spring Quarter.

5% - Miscellaneous
Any other duties as assigned by the Student Development and Engagement Manager or Executive Officers.
