Job Description
Skills Required: --Ability to work with minimal supervision.
--Ability to lift 40-50 pounds with or without accommodation.
--Must be able to work evening hours at least 2 nights/week.
--Ability to speak clearly on the phone and in-person.
--Ability to articulate policies and procedures with diplomacy.
--Prompt, dependable and willing to work at a minimum of 2 nights a week.

Specialized skills required:
strong customer service orientation; excellent problem solving skills;
ability to perform a variety of general clerical duties; well-organized; detail oriented; some experience in data entry;oral communication skills sufficient to offer clear, detailed instructions, and to answer questions clearly and succinctly.

Ability to sustain a high degree of public contact and positively interact with individuals with diverse backgrounds.

Ability to work under pressure of frequent, high volume, in-person, and telephone contacts with patience and tact. Ability to work with more than one supervisor.

Macintosh platform; ability to work on a web-based database system.

Skills Preferred: Prior work experience working a front desk or customer service.
Percentage of Time Duty
85% Serve as the "Evening" Career & Bay Tree Conference Center Front Desk/Receptionist/Facilitator.

Open or secure building (depending on shift); unlock rooms or sign out room media keys as appropriate; make regular inspection rounds; enforce building policy; relay messages and instructions. Perform conference room set ups; perform minor custodial tasks sufficient to keep facility (conference rooms, hallway, restrooms, patio) neat; report maintenance or custodial problems; near end of each shift, move or arrange furniture in proper order (including patio furniture), fold patio umbrellas, count chairs, take inventory of furniture & equipment, report vandalism/destruction/repairs needed, print out and post (to doors & bulletin boards) next day's schedule. Approve online reservations daily. Take appropriate action in emergencies.
Mandatory nightly email reports to supervisor.
Weekly one hour team meetings (during daytime business hours) required.
15% As assigned by supervisor, the incumbent will perform various clerical duties to support the Bay Tree Conference Center.

The short list includes:
-Accurately processing new user forms
& researching out-of-date user information to purge.
-Mining Conference Center database for raw data
-Maintaining inventory of supplies, notifying supervisor when items are low & placing request for new items.
-Maintaining templates for standard communications.
-Making ad hoc reservations for special events.
-Other duties as assigned.

Special Comments: For this year, the position will have at least 2 shifts/week, and mandatory on-call for additional shifts when other employees cannot work. This is an excellent opportunity to learn how to work independently in a "Conference Center" environment as a facilitator during the evenings .
