Job Description
Skills Required: Prior experience working in an office and/or administrative setting required for this position. Prior experience answering phones as well as sending and receiving professional emails. Ability to create and maintain physical files. Ability to create spreadsheets and accurately maintain them on a daily basis. Extreme attention to detail. Ability to maintain an accurate filing system, be able to work independently, be able to problem solve with minimal supervision, be a self starter, be able to communicate clearly with campus representatives, vendors, project managers, service providers, building contractors, and manufacturers.

A valid driver's license and clean driving record are a requirement for this job.
Skills Preferred: Have excellent computer/networking skills, be able to troubleshoot computer problems and offer office related computer support for both PC and MAC. Excellent skills and knowledge regarding Google Spreadsheets and Microsoft Excel strongly preferred for this position.

Percentage of Time Duty
30% With the direction of supervisor, organize files for various construction projects that may take place during the school year or summer. Have files available for supervisor to view or take to project meetings. Under direction work closely with Senior Maintenance Building Workers to ensure that inspections, pro-card statements, and special work tasks and/or projects are complete. Assist in the hiring of student work crew during the academic year and the summer. Organize blueprints and specification binders.
50% Investigative work during the summer and school year to determine priority of projects. Conduct and document inventory of campus furniture, including ratings of condition. At the end of the academic year, inspect student damages to campus furniture and determine what charges are appropriate for repair/replacement, communicate this information with supervisor and college housing offices. When major furniture related projects arise, manage the distribution of new furniture throughout the zone. Communicate with and direct outside contractors to complete furniture projects. Take pictures and create computer files with dated pictures and project information. Help design readable and functioning conference work schedules for maintenance. Update work order books.
10% Travel between various colleges to collect or deliver data. Travel to off-campus university property and warehouses as needed for furniture projects. Make phone calls, talk with manufacturers, set up appointments and meetings, update schedule for supervisor. Occasionally attend meetings and reports back to the supervisor. Drive University vehicles as assigned. Help maintain office organization and cleanliness. Provide general office support for Facilities Asset Coordinator and Zone Maintenance Supervisor. Perform in-field hands on maintenance work as directed.

10% Special projects directed by supervisor that may arise during summer and school year.

Special Comments: PLEASE READ CAREFULLY: A long term commitment is needed for this position. Due to the nature and consistency required of the work, along with preparation for summer duties, hired candidates will be expected to work full time (Monday-Friday, 8:00am-4:30pm) during the summer June 15th, 2020 through Sep. 27th 2020. This is an Asst. IV position and is intended to be carried forward into the summer and following academic year. During summer a raise is included.

The ability to work independently as well as in a team oriented environment is critical. The incumbent will work alongside SBMWs, supervisors, contractors, vendors, student employees, and other university staff.

The Facilities Asset Coordinator and the Zone Maintenance Supervisor represent the management tier of the Central Zone colleges (Colleges Nine and Ten, Porter, Kresge, and Redwood Grove).

15 to 20 hours a week will be required during the academic year. Days and hours will be agreed upon by incumbent and supervisor. This position requires that incumbent have previous experience in office administration. Please add as many references and work history as you can. A resume is strongly encouraged.

We are searching for applicants that have ability to make a long term commitment to this job, working for the rest of the 2018-2019 academic year, the 2019 summer, and the 2019-2020 academic year at minimum. This includes working during spring and winter breaks as well. Working during the academic year and the summer is a non-negotiable requirement for this position.

A valid drivers license is a non-negotiable requirement for this job as well.
